The successful candidate will be highly organised, detail-orientated and confident working in a hands-on environment — willing to set up spaces, solve problems in real time and step in wherever needed to ensure events run smoothly.
This role suits someone who thrives in a fast-paced environment, thinks on their feet and brings a proactive, positive and collaborative approach to operational delivery.
Role Overview:
The Events operation & Facilities Coordinator is responsible for the operational management, facilities, infrastructure and compliance of Enable’s event venues and spaces, ensuring they are safe, well maintained, presentable and ready to support a varied programme of events and hires.
The role provides the key link between day-to-day venue and facilities operations and the wider Events Team, ensuring that operational requirements, maintenance, contractors, equipment and venue standards support the successful use of our spaces.
Alongside the core facilities and venue responsibilities, the postholder will develop strong working relationships with recurring hirers and key venue clients, providing continuity and an effective operational point of contact for venue-related matters.
The role will also support the Events Team with events where required, particularly where additional venue, facilities or operational input is needed.
Main Duties/Responsibilities:
Venue and Facilities Operations
- Oversee day-to-day operational standards across Enable’s event venues and spaces, ensuring they remain safe, clean, presentable and fit for purpose.
- Ensure venues are appropriately prepared and operationally ready for booked activity.
- Carry out regular venue inspections and identify maintenance, repair, presentation and operational issues.
- Coordinate and follow up maintenance and repair requirements, working with internal teams, the Council, contractors and suppliers as appropriate.
- Ensure venue defects and operational issues are appropriately recorded, prioritised, escalated and followed through to resolution.
- Coordinate cleaning, waste, utilities, access, keys and other operational requirements across event venues.
- Ensure operational equipment, furniture and venue assets are appropriately maintained, tested, stored and available for use.
- Maintain oversight of venue infrastructure and identify areas requiring repair, replacement or investment.
- Coordinate contractor access and works within venues, minimising disruption to booked activity wherever possible.
- Ensure appropriate operational records, venue documentation and asset information are maintained.
- Work proactively with colleagues to ensure operational issues that could affect future bookings are identified and addressed.
Client & Recurring Hirer Relationships
- Build and maintain positive working relationships with recurring hirers and key venue clients.
- Act as the main operational contact for designated recurring hirers and key venue clients, taking ownership of ongoing venue-related communication and follow-up.
- Develop a strong understanding of recurring hirers' operational requirements and ensure these are appropriately communicated and coordinated.
- Work with the Events Managers and Coordination teams to ensure relevant operational information is effectively handed over and understood.
- Attend client site visits and operational meetings where venue or facilities input is required.
- Ensure clients and hirers understand relevant venue procedures, site restrictions and operational requirements.
- Proactively manage venue-related concerns from initial report through to resolution, keeping hirers informed and coordinating action with relevant internal teams.
- Maintain agreed operational arrangements and records for recurring bookings, ensuring requirements, feedback and previous issues are carried forward consistently.
- Hold regular check-ins with key recurring hirers to review their experience, anticipate upcoming needs and identify improvements that support satisfaction and retention.
Event Support
- Provide venue, facilities and operational support to the Events Team where required.
- Work with Event Managers and Coordinators to identify venue or facilities requirements that may affect upcoming events.
- Assist with resolving venue or facilities issues that arise during event activity.
- Provide practical venue knowledge to support effective decision-making by Event Managers and the wider Events Team.
- Support post-event venue inspections and ensure any damage, maintenance or reinstatement requirements are identified and followed up.
- Support the Head of Events and Production Team in delivering Enable-Produced Events
Health, Safety & Compliance
- Maintain oversight of operational health and safety standards across Enable’s event venues.
- Ensure required venue checks, inspections and operational records are completed accurately and consistently.
- Monitor fire safety, water hygiene and other relevant venue compliance requirements.
- Ensure appropriate fire safety equipment, emergency procedures and venue documentation are maintained.
