Job Description
Are you a wonderfully organised, capable and resourceful person who loves keeping things running smoothly?
Someone who enjoys variety, takes pride in the details and is equally happy processing invoices, organising meetings or finding a better way of doing things?
We're working with a lovely, well-established business in the Woking area who are looking for an experienced Office & Operations Manager to become an integral part of their friendly, close-knit team.
This is a genuinely varied, hands-on role where you'll work closely with the Directors, taking ownership of the day-to-day administration and operational activities that keep a busy business ticking along.
We're looking for someone who enjoys responsibility, can confidently juggle different priorities and has that all-important ability to spot what needs doing and get on with it!
What will you be doing?
No two days will be quite the same, but your responsibilities will include:
- Overseeing the smooth day-to-day running of the office, including administration, facilities and general office coordination.
- Providing trusted administrative and operational support to the Directors and wider team.
- Managing financial administration, including invoicing, purchase orders, account reconciliations, expenses and bookkeeping.
- Supporting the coordination of multiple projects, maintaining accurate documentation and liaising with suppliers and external contacts.
- Maintaining company policies, procedures, accreditations and management systems, including supporting audits and compliance activities.
- Preparing presentations, reports, correspondence and other business documentation.
- Coordinating meetings, events and occasional client hospitality.
- Supporting marketing activities, including social media scheduling, website updates and preparing case studies.
- Assisting with recruitment administration and confidential employee documentation.
- Identifying opportunities to improve processes and make everyday operations more efficient.
- Providing guidance and support to another member of the administration team.
What are we looking for?
Above all, we're looking for a capable, dependable and approachable person who enjoys being part of a small team and takes genuine pride in their work.
Ideally, you'll bring:
- Proven experience in office management, business administration or a similarly varied operational role.
- Strong organisational skills and the confidence to manage competing priorities independently.
- Experience of bookkeeping and financial administration, with excellent attention to detail.
- Good working knowledge of Microsoft Office, particularly Excel, Word, Outlook and PowerPoint.
- Familiarity with accounting software, such as Xero or QuickBooks, or the confidence to learn.
- Excellent written and verbal communication skills.
- A professional, discreet and trustworthy approach, particularly when handling confidential information.
- A practical, flexible attitude and a willingness to get involved wherever needed.
Experience of maintaining company accreditations, coordinating audits or supporting marketing activities would be an advantage, although not essential.
You certainly don't need to know everything from day one. A willingness to learn, plenty of initiative and a positive, common-sense approach will go a long way!
What's on offer?
- Flexible hours: Monday to Friday, with start times between 7am and 9am and corresponding finish times.
- Hybrid working: Up to two days working from home each week, including Fridays, subject to business needs.
- Early Friday finish: Finish one hour earlier on Fridays.
- Training and development: Opportunities to learn new skills and develop within the role.
- A lovely team environment: Regular socials, team-building activities, celebrations and charity events.
Due to the office location and occasional local travel, a full driving licence and access to your own transport will be required.
Sound like your kind of role?
If you're an experienced office all-rounder who loves variety, enjoys taking responsibility and would thrive in a friendly, collaborative environment, we'd love to hear from you.
