About the role

Job summary

The Ministry of Defence, Civil Service workforce is diverse, with many different functions and professions ranging from cyber and digital transformation, police officers, security guards, trainers, human resources, teachers, psychologists, storekeepers, and policy secretariat staff to support the British Army.

The welfare clerk will be responsible for the provision of day-to-day clerical and administrative tasks including recording actions on appropriate IT systems and databases (full training will be given). They will provide support to the Unit Welfare Officer and the Community Team, providing welfare assistance and support to service personnel and families.

This position is advertised at 37 hours per week.

Job description

This is an excellent opportunity for an organised and proactive individual to join a busy and welcoming Welfare Team based in Bramcote.

Key responsibilities:

  • Provide efficient administrative and clerical support to the Welfare Team.
  • Maintain the Welfare Team SharePoint site, team diary, and electronic and manual filing systems in accordance with current policies and legislation.
  • Provide local information and guidance to soldiers and their dependants, ensuring notice boards, publications and information resources are accurate and up to date.
  • Manage the Welfare Office reception, triage walk-in enquiries and appointments, and signpost individuals to the appropriate welfare support services.
  • Record actions and maintain accurate records using relevant IT systems and databases.
  • Manage bookings, deposits and fees for the Unit Contact House and Community Centre, including the issue and return of keys, arranging cleaning after use, and ensuring monies are paid into the Regimental account.
  • Provide administrative support for departmental meetings and conferences, including preparing and distributing agendas and minutes, and attending community event meetings as required.
  • Provide ad hoc administrative support to the Regiment and Station Chaplain.
  • Maintain strict confidentiality in all matters relating to Welfare Office clients and employees.
  • Undertake any other duties appropriate to the grade, as directed by the Line Manager or Countersigning Officer.

Please note: You will be expected to travel and attend a 1 day welfare course which is currently in Donnington (subject to change).

Person specification

We are looking for a friendly, well-organised, adaptable Welfare Clerk to join our encouraging and welcoming team of dedicated military and civilian personnel.

Essential Criteria:
  • Strong communication skills, both written and verbal, and ability to liaise with individuals at all levels.
  • Have an ability to work proactively and as part of a team.
  • Strong attention to detail.
  • Ability to manage own workload and prioritise tasks.
  • Experience of working with confidential and sensitive information.
  • A good working knowledge of Microsoft Office packages and MS Teams is essential.

Desirable skills:

  • Experience in a similar role or professional service environment.
  • A full UK driving licence is desirable due to visits and the remote location of the role.
