About the role
Job summary
The Ministry of Defence employs over 50,000 Civil Servants. Within that, with responsibility for an annual budget of over £10bn, the Army is a major part of the Ministry of Defence and one of its largest operating centres who employ around 12,000 Civil Servants located at over 300 locations supporting the 110K regular and reserve soldiers across the Army. This Civil Service workforce is diverse, with many different functions and professions ranging from police officers, security guards, trainers, human resources, teachers, and psychologists to storekeepers, financiers, project and programme managers, and policy secretariat staff.
This an exciting role that combines knowledge management and librarianship skills with military capability, science and technology and acquisition skills to enable the Army to win in battle. It sits in the Future Force Development branch, in the Research and Experimentation (R&E) team which is responsible for filling the knowledge gaps to inform capability development choices, nested in Army and Defence priorities, testing hypotheses and validating solutions.
This position is advertised at 37 hours per week.
Job description
This role is responsible for conducting the routine management of the Army Research Reports Repository (ARRR) SharePoint library at Official-Sensitive and Secret. You will manage the file plan for large, rapidly growing, ever-evolving sites (OS and Secret) to ensure file structures and contents remain easily navigable and up to date in line with Army Science and Technology (S&T) and Capability and Acquisition (CAPAC) requirements and Army and MOD KIM (Knowledge and Information Management) policy. This post will work to a Senior Executive officer in the Research and Experimentation (R&E) team.
Key responsibilities:
- Identify, capture and track relevant Science and Technology and Capability and Acquisition knowledge and information and knowledge assets.
- Manage information quality and integrity for report retrieval from multiple other current and legacy systems.
- Work with multiple stakeholders to ensure the constant inflow of relevant and useful research reports into ARRR.
- Manage and audit access and permissions for multiple limited access commercially sensitive usergroups at OS, Secret and on the ARRR AI Large Language Models (LLMs). This will include the creation and use of a partially automated user access request system.
- Advise and assist users with basic MODNET SharePoint skills to optimise their searching. Advise users on appropriate information sharing to ensure the confidentiality, integrity and availability of commercially sensitive and MOD IPR (Intellectual Property Rights) information.
- To work with customers to determine their information requirements.
- Advise and assist users with access and security considerations and to help users to understand and apply search techniques to optimise their searching and information sharing.
- Assist with stakeholder communications, queries and the production and distribution of the ARRR monthly newsletters.
- To work in a mixed military/civilian team including contractors in a fast moving but supportive environment. You will need to be able to work at times with minimal supervision.
- Help to ensure that the evidentiary outputs of Army research and experimentation are captured and exploited across the Army and wider MOD.
- The role currently has no line management responsibilities but the post holder may be required to line manage Administrative Grade staff at some point in the future.
- The role may involve occasional travel to meetings outside the Andover area and so a willingness to attend occasional off-site events is beneficial.
Person specification
Essential skills required:
- Experienced and skilled SharePoint user willing to explore and exploit current and new SharePoint features to best effect.
- Must be a sole UK National to manage the UK Eyes Only section of the Secret ARRR.
- Good basic professional written and verbal communication skills in the workplace.
- Positive and focused attitude.
Desirable skills:
- A basic interest in science and technology, defence acquisition, AI and/or capability.
