About the role

OVERALL PURPOSE OF THE JOB

The role will work with the Heads of Property & Estates to align the SIG facilities and maintenance programme in line with the business goals and objectives. The position reports to the Heads of Property & Estates and will monitor and control the business property maintenance and facilities strategy.

KEY RESPONSIBILITIES

Strategic:

• To manage the property maintenance and statutory compliance of your specified regions
• To manage Facilities Management in SIG. This includes ongoing improvements around Waste, Vending, Utilities, Cleaning, Security, as well as reactive and planned maintenance.
• Ensure implementation of business initiatives where they include a facilities or maintenance focus.

Leadership:

• Providing leadership, including: o Acting as the business in-house expert on all matters to do with Facilities Management o Assist in the communication of a clear vision on the future of facilities management. Including the communication of all process regarding FM to the Branch/Operational Teams.
o Observing individual objectives and monitoring these to realise the goals and objectives of the function.
o Ensuring FM contractors and suppliers are delivering, maintaining, and managing a cost-effective service to UK OpCo’s and Group function, in line with the FM processes.
o Ensuring up to date awareness of current Legislation and changes, to ensure Group interests are protected at all times. o Identifying areas in the function where additional support or performance management is needed to achieve objectives.
o Deputising for SIG UK FM (counterpart) during periods of absence.
o Being the main point of contact for branches requiring property related support in your region, keeping in close contact with those facilities you are responsible for and ensuring they are aware of and follow the FM processes.

Functional:

• Effecting the execution of projects and services emanating from the FM contract (and other programmes/projects), including reactive works, planned maintenance and service contracts.
• Oversight of budgets to include recommending annual and individual budgets and ensuring these are controlled in line with Company policy and approvals.
• Challenge and manage costs/specifications for all work undertaken.

  • Ensure legislative compliance encompassing Health and Safety of staff, public and contractors. CDM notifiable projects, Asbestos Management, Building Regulations, Contractor Procedures and lease obligations
  • Application of industry ‘best practices’ in the day to day running of function.
  • Analysis and control of contract performance. This includes identifying possible claims or obligations on the parties and advising on appropriate rights and remedies.
  • Maintain a suite of property and facilities’ related contracts including a clear audit trail of contract changes and additions.
  • Support the management of the insurance claims procedure to ensure maximum value is sought from property insurance claims.
  • Provide appropriate reports on a monthly basis to the Head of Property & Estates.
  • Advising on improvements to working environments in branches.
  • Ensure budgets are managed accordingly, highlighting any risks to P&L as soon as identified.
  • Ensure the FM team remain focused on compliance and corrective management and reporting risks as soon as possible.
  • Performance management of the FM Supply chain.

JOB DIMENSIONS / SCOPE: Operating Budget, other key metrics

• This role has responsibility for SIG property maintenance and FM matters.
• Lead the tendering process for future FM contracts around Hard FM, Waste, Cleaning, Utilities, Security.
• The need for the job holder to understand briefs and projects both from a technical and business perspective is an essential element to effective performance of this role.
• The job holder is to maintain the highest level of integrity and professionalism in the undertaking of this role.
• The job-holder is to ensure that Group Accounting Procedures for tendering are adhered to and comply with Group Auditing Procedures.

KNOWLEDGE / EDUCATION / EXPERIENCE REQUIRED

The job-holder:
• Is a member of the IWFM or equivalent qualification.
• A qualification in management/leadership would also be an advantage but is not essential.
• Has at least five year’s construction experience within a retail and/or multi-site environment needed.
• Has at least 5 years’ experience in the field of Maintenance and Facilities Management.
• Has a strategic, logical approach and be experienced in dealing with strategic initiatives and sites of significant importance
