About the role
Location: Foss House, 1-2 Peasholme Green, York, North Yorkshire, YO1 7PR
Pay Rate: £13.47 per hour
Hours: 37 hours per week, Monday to Friday, 9:00am to 5:00pm
Contract Length: Until 31 March 2027
Start Date: 5 October
Clearance Required: Basic DBS- Provided by brookstreet
About the Role
We are recruiting for an Administrative Officer to join a busy operational team based in York. This is an excellent opportunity for an organised and customer-focused individual with strong administrative skills to support a range of important business activities.
The role is primarily office-based, although hybrid working may be introduced in the future. Candidates should be flexible, as future shift patterns may include 8:00am to 4:00pm or 11:00am to 7:00pm, with occasional weekend working. Weekend shifts, if required, would be worked from home.
Please note, successful candidates must have sufficient space at home to accommodate a work printer.
Key Responsibilities
- Communicate clearly, confidently and professionally with internal and external stakeholders via telephone and email.
- Respond to customer enquiries using approved guidance and knowledge systems, ensuring accurate and timely resolutions.
- Maintain and update customer records and databases in line with policies and data protection requirements.
- Produce and issue documentation accurately and within agreed timescales.
- Manage shared and personal mailboxes, customer enquiries and administrative workflows.
- Enter, update and validate data across multiple systems.
- Monitor trackers and maintain quality standards across administrative processes.
- Support operational priorities and undertake additional tasks as required by management.
- Assist with critical response activities, including disease outbreak support where necessary.
- Identify opportunities to improve administrative efficiency and customer service.
- Share knowledge and best practice with colleagues and contribute to a collaborative team environment.
Essential Skills and Experience
- Strong customer service skills with the ability to handle telephone and email enquiries professionally.
- Excellent communication skills, both written and verbal.
- Strong organisational skills with the ability to prioritise competing workloads.
- High level of accuracy and attention to detail.
- Competent user of Microsoft Office applications, including Outlook, Word and Excel.
- Ability to work independently and as part of a team.
- Flexible, resilient and comfortable working in a fast-paced environment.
Desirable Skills and Experience
- Previous administrative or contact centre experience.
- Experience of using bespoke systems relating to licensing, surveillance, import/export processes or similar operational functions.
- Experience supporting operational, regulatory or compliance-based work.
Additional Information
- Ongoing training and support will be provided.
- No travel is required for training.
- No holidays should be booked during the first few weeks of employment.
- Potential extension beyond the initial contract period.
