File Opening & Compliance Administrator Location: Gravesend, Kent Salary: Circa £24,500 per annum Occasional travel between multiple offices will be required Diamond Search Recruitment is advertising this vacancy on behalf of our client. Our client is a long-established and highly respected legal firm with offices across Kent. We are seeking a highly organised and detail-focused File Opening & Compliance Administrator to support client onboarding, compliance, file management and archiving processes across the firm's offices. This is a key role in ensuring files are opened and maintained accurately, SRA and AML requirements are met, and matters progress smoothly from initial onboarding through to closure and secure storage. Key Responsibilities File Opening & Compliance • Create and set up client files and matter workflows across the firm's offices. • Carry out ID and AML checks in line with SRA and internal requirements. • Run and assess ID checks using third-party verification systems. • Send biometric verification links to clients. • Upload and review ID and CDD documentation on case management systems. • Identify and resolve missing or incorrect compliance documentation. • Ensure files remain fully AML compliant throughout the matter lifecycle. File Closure & Archiving • Prepare files for closure, ensuring all required paperwork is complete. • Liaise with finance teams regarding outstanding balances. • Close and archive files on the case management system. • Package and prepare files for off-site storage and retrieval. Wills, Deeds & LPAs • Accurately log and store Wills, Deeds and LPAs on client records. • Ensure documents are correctly signed, scanned and stored. • Manage storage numbering and the retrieval of documents. File Destruction • Identify files due for destruction in line with retention policies. • Ensure the secure disposal of confidential documents. • Update relevant systems and coordinate with shredding providers. Training & Support • Support and train staff on file opening and CDD processes. • Provide guidance on compliance and client onboarding requirements. About You The successful candidate will be highly organised, detail-focused and confident managing sensitive information and administrative processes. You will ideally have: • Experience in legal administration, compliance or file opening, although this is not essential. • Knowledge of AML/CDD processes, or a willingness to learn. • Excellent attention to detail and strong organisational skills. • Confidence using case management systems and other digital platforms. • Strong communication skills and the ability to manage multiple tasks effectively. • A professional, proactive and reliable approach to your work.
