Role Information

Salary: £27,000 per annum (starting salary, reviewed after 6 months)

Location: Hull

Hours: 8am-4.30pm (40 hour week with 30 mins lunch break)

This is a full time, permanent position

The Role

This is a great opportunity for someone with previous scheduling, coordination or customer service administration experience who is looking to develop their career within a busy service and operations environment.

Full training will be provided on the company’s systems, processes and industry-specific requirements, so previous experience within the commercial vehicle or engineering sector isn’t essential. However, as you’ll be joining a smaller team, you’ll need to be comfortable managing your own workload, keeping on top of multiple priorities and ensuring customers and engineers receive the support they need.

You’ll be responsible for coordinating engineers, communicating with customers, liaising with suppliers and working closely with internal teams to ensure jobs run smoothly from start to finish. We’re looking for someone who’s organised, detail-focused, confident communicating with different people and able to work proactively in a fast-paced environment.

Key Responsibilities (not limited to):

  • Plan and schedule engineers to maximise utilisation and match skill sets using the skills matrix.
  • Ensure the correct hours are allocated to each job and align schedules with engineer availability.
  • Arrange the hire of engineering equipment, such as towers, where required.
  • Obtain the appropriate customer authorisation before work commences.
  • Keep customers updated throughout the job process and manage expectations clearly and professionally.
  • Send accurate parts information to suppliers, including video links where applicable, to ensure the correct parts are identified and ordered.
  • Use customer-specific job platforms to update progress, submit estimates, record final costs and process final invoices.
  • Ensure data is accurate, up to date and submitted in line with agreed formats and deadlines.
  • Maintain accurate internal job records that align with customer platforms.
  • Cost jobs to maximise profitability while ensuring value for the customer.
  • Ensure all job-related costs are captured and authorised appropriately.
  • Support the invoicing process by ensuring all required information is submitted promptly.
  • Work closely with mobile engineers, the customer care team and the parts department to support efficient service delivery.
  • Relay information from job notes accurately to relevant stakeholders to support timely decision-making.
  • Act as a key point of coordination between field-based engineers, customers and the office.

The Successful Candidate Will Have the Following Key Skills and Experience

Essential:

  • Previous experience in scheduling, coordination, customer service administration or a similar administrative role.
  • Strong organisational skills and excellent attention to detail.
  • Excellent communication skills, with the confidence to liaise with customers, engineers and suppliers.
  • Experience managing multiple priorities and responding effectively to changing situations.
  • Confidence using IT systems and the ability to learn new software and processes.
  • A proactive, customer-focused approach to problem-solving.
  • The ability to work independently, manage your own workload and contribute effectively within a smaller team.

Desirable:

  • Experience coordinating appointments, engineers or field-based teams.
  • Experience within a service-based business.
  • Exposure to scheduling, job management or customer service systems.
  • Experience within the commercial vehicle, automotive or engineering sector.
  • Knowledge of customer job platforms, job costing or invoicing processes.

If you have experience in scheduling, coordination or customer service administration and are looking for an opportunity to develop your career within a busy service and operations environment, we’d love to hear from you!
