Holiday: 20 days + your birthday off I’m currently recruiting on behalf of a residential property management client who is looking to appoint an experienced Block Manager to join their team. This is a hands-on role managing a defined portfolio of residential buildings, with responsibility for client and leaseholder relationships, service charges, maintenance, compliance, major works and the overall delivery of a high-quality property management service. You’ll work closely with the Head of Property Management, Accounts and Legal teams, while also having support from junior and administrative colleagues. The Role As Block Manager, you will be responsible for the day-to-day management of your portfolio, ensuring properties are well maintained, compliant and managed effectively while providing a high level of service to clients and leaseholders. Client & Leaseholder Management
- Provide a high level of customer service to clients, leaseholders and other stakeholders.
- Manage incoming communications including phone calls, emails, letters and general enquiries.
- Prepare for and lead client meetings, working with the administration team to collate and distribute relevant documentation.
- Take responsibility for meeting minutes and follow-up actions.
- Maintain proactive communication with clients and leaseholders, keeping them updated on issues affecting their buildings.
- Build strong and professional relationships with clients, leaseholders, contractors and other stakeholders.
- Prepare annual service charge budgets and supporting notes, obtaining client approval before demands are issued.
- Verify and approve supplier invoices via Qube.
- Maintain an understanding of portfolio-wide block liquidity, arrears and credit control positions.
- Liaise with Accounts and Legal teams to help improve cash flow and resolve arrears.
- Provide accurate invoicing information for major works and ad hoc services within agreed timescales.
- Work closely with the Accounts team to ensure year-end accounts are completed and circulated within the required timeframe.
- Create and maintain an annual schedule of site inspections across the portfolio.
- Attend properties in line with agreed inspection schedules and individual building requirements.
- Complete site inspection reports and identify any issues requiring action.
- Follow up on matters identified during inspections to ensure they are appropriately addressed.
- Proactively plan major cyclical works and other Section 20 projects across the portfolio.
- Manage the Section 20 process in accordance with best practice.
- Work closely with the surveying team throughout major works projects.
- Monitor progress and ensure projects are delivered in line with agreed processes and timescales.
- Ensure appropriate service contracts are in place across the portfolio, including contracts covering lifts, boilers, entry systems, drains, security, fire protection and other communal services.
- Regularly review service contracts and service levels.
- Identify preventative maintenance requirements and authorise expenditure within agreed parameters.
- Instruct reactive maintenance works in response to reported issues.
- Ensure the correct contractors are appointed and that works are progressed and closed down within appropriate timescales.
- Work closely with the contractor panel to ensure works are completed promptly and to a good standard.
- Provide regular updates to the Operations Manager on outstanding works and progress.
- Take responsibility for Health & Safety compliance across the portfolio.
- Maintain and update relevant Health & Safety records and documentation.
- Manage reports including Fire Risk Assessments, water hygiene, asbestos and LOLER.
- Arrange appropriate remedial works where issues are identified.
- Liaise with Health & Safety consultants and contractors as required.
- Keep up to date with relevant legislation affecting residential property management.
- Set up new insurance claims and manage them through the required process.
- Liaise with brokers and insurers to progress claims.
- Provide regular updates on the progress of claims.
- Work closely with the Head of Property Management, Accounts and Legal teams.
- Attend company meetings and provide updates on areas of responsibility.
- Maintain accurate spreadsheets and records covering works orders, insurance claims and other portfolio activity.
- Attend relevant training, professional development opportunities and seminars.
- Share relevant industry and legislative updates with colleagues.
- Support a practical, proactive and solution-focused approach across the wider property management team.
