About the Role

The Lettings Officer arranges community venue hires, promotes school facilities for external use, processes bookings, and acts as the primary point of contact for hirers. Combining exceptional customer service with efficient administrative  you will ensure our site facilities are utilised effectively while upholding rigorous safeguarding, security, and health and safety standards.

You'll be the main point of contact for anyone looking to hire our facilities. That means responding to enquiries, managing bookings, issuing contracts, and making sure everything runs smoothly from start to finish.  Flexibility is important here, this role includes some evening and weekend work depending on the schedule. Could you see yourself managing site access, locking up after events, and being on hand when the community needs us most? Then we would love to hear from you.

Key responsibilities

  • Respond to hire enquiries, manage booking systems and contracts, coordinate site readiness with internal departments, arrange cover staff, and handle building security (including evening/weekend lock-up and setting alarms).
  • Guide hirers through pricing, availability, and terms with care and clarity
  • Work with school teams to prepare facilities and handle any changes
  • Keep records up to date, including contracts, insurance, and income
  • Help promote our facilities to local groups and organisations
  • Act as the designated on-site lead for safety, first aid, and incident management during lettings; enforce school rules, GDPR, and safeguarding protocols; and report any building or equipment maintenance issues.

What we are looking for

  • Level 2 qualifications (GCSE Maths and English at Grade 4/C or equivalent).
  • Background in a customer-facing role (ideally working with sports clubs, community groups, or educational settings).
  • Practical experience managing calendar/booking systems and basic financial processes (invoicing and payment tracking).
  • Confident IT user with solid organisational and time-management skills.
  • High degree of reliability, self-motivation, and the ability to work independently to resolve on-site issues.
  • Previous experience managing school/community lettings, facility marketing, budget forecasting, or educational administration is advantageous.
  • First Aid qualified, or willingness to complete required training.
