Job Role
To support our Client Services Director and Account Directors in the delivery of client projects (Events and Experiential) with the opportunity to act as Project Lead for small to medium sized events and campaigns.
Help to grow existing accounts by developing a good working relationship with clients and delivering a high quality client service.
Key Responsibilities
Support the Client Services Director and Account Directors in developing and selling in responses to event and experiential briefs
Work with the Creative and Strategy teams to define the creative and strategic solution to client briefs
Compile client proposals in Google Slides, including client objectives, strategic rationale, creative solution, timing plans and budgets
Develop and manage clear, up to date Project Plans with tasks and timings for all stakeholders to ensure smooth and timely delivery of projects
Organise/book third party suppliers (crew, tech, printers, promotional staff, freelancers) as required for projects
Work with the Production Team to develop physical solutions that are effective, on brief and on budget
Work with the Production Team to source, plan and deliver all production and technical elements of projects
Schedule, brief and manage creative resource, acting as the client’s custodian to ensure creative is on brief
Source venues and locations for events and experiential activations and manage associated contracts and permissions
Manage logistics for events where required – accommodation, travel and transport
Build, manage and track the budgets to ensure the overall profitability of the job is protected
Line Manage, support and mentor a direct report (Account Manager/Senior Account Executive) when required.
Provide ongoing client liaison and support in maintaining professional, warm, helpful, and solution-orientated communication to garner trust and develop positive client relationships
Project Management
Oversee and manage all key project management stages
For your medium projects, establish the Project Team and ensure all stakeholders have full understanding of their roles and responsibilities and are accountable for their deliverables
Work with other areas of the business to develop the strategic solution to client briefs and ensuring the solution answers the brief, meets the criteria, is delivered on time and on budget
Manage the creative resource, ensuring that projects are running efficiently and, when additional resources are required, these are available and planned accordingly (freelance included)
Ensure there is a clear, up to date Project Plan with tasks and timings for all stakeholders
Provide ongoing client liaison and support in maintaining professional, warm, helpful, and solution-orientated communication to garner trust and develop positive client relationships
Ensure all project documents are filed on server as per agreed structure
Sign-off key project stages with team and client
Ensure quality control processes are adhered to at all times
Ensure project objectives are achieved and ROI is secure
Lead status meetings as appropriate
Write up and distribute detailed and accurate contact reports from client meetings
General trafficking of projects through the studio
Source freelancers and crew as required
Review the success of client projects and supporting and ensuring internal and client de-briefs are carried out in a timely manner after project end
Obtaining positive PR for clients and Collider, wherever possible – and producing necessary case studies, blogs etc. for use on social channels
Manage all relevant 3rd party relationships
Ensure use of relevant Collider templates
Financial Management
Produce estimates/budgets for projects and maximising and maintaining profitability through effective cost control
Ensure the client is aware of payment terms and timescales and a PO is obtained (or written agreement to start work) by the client (and that these are saved on the server and Paprika)
Reconcile budgets you are responsible for, ongoing and at the end of the project (third party and time via burn reports) and assist with larger projects when lead by an Account Director.
Ensure that Client approval is obtained should the project brief alter in any way and incur additional costs and ensure that this is reflected in a revised Scope of Work (ideally before additional work begins)
Monitor internal costs/time throughout the life of projects ensuring overspend/burn is picked up before it becomes an issue
Produce forecasts (both for new business and existing clients), communicating these to the Finance Director on a regular basis, and doing everything possible to ensure these forecasts are achieved
Ensure Finance Director and Client Services Director are kept informed of any changes to the profit margin
Ensure budgets are input to Paprika accurately for effective cost management
Ensure Purchase Orders are raised for any items or services purchased on behalf of the Company
Keep up to date Timesheet entries
Provide administrative and production support as needed, including opening jobs on the system, budget co-ordination, raising POs, processing invoices etc.
New Business & Client Development
Play a role in securing new business and developing client accounts by demonstrating a good understanding of the client’s business, performance, products, sector, marketplace, competitors and client’s business objectives
Monitor and explore trends within the creative sector which will enhance the company’s offering and help secure/deliver future client projects
Identify new business opportunities and developing these prospects with support from a senior team
Prepare monthly forecasts for client accounts, monitoring progress against these forecasts and reporting any discrepancies or changes
Produce proactive proposals for clients
Ensure all areas of the account have been fully exploited through cross selling opportunities.
Continually maintain and develop technical skills and knowledge through research, attending industry events and training
