CAFM System Implementation Manager - Facilities Systems Manager
Location: Coventry, Warwickshire
Contract Type: 9 to 12 month contract, hybrid working
Daily Rate: £450 to £550 per day

Summary
We are seeking an experienced CAFM System Implementation Manager to lead the successful deployment of a Computer-Aided Facilities Management (CAFM) system across the Property function for a large multi-million-pound estate. The role requires ensuring the system is operationally effective, widely adopted by users, and supported by robust processes, high-quality data, and aligned stakeholders. You will act as the central coordinator between Property, Technology, operational teams, and external vendors to deliver the project within agreed scope, time, and quality parameters.

The successful candidate will build and maintain strong relationships with stakeholders at all levels, from senior leaders and budget holders to operational teams, system users, suppliers, and delivery partners. You will provide leadership across multiple workstreams, bringing together subject matter experts, service leads, technology teams, and external partners to ensure a coordinated and successful transition to the new CAFM system.

Key Responsibilities

  • Lead and deliver the end-to-end implementation of the CAFM system across the Property function.
  • Coordinate between internal teams and external vendors to ensure delivery meets scope, schedule, and quality standards.
  • Develop and maintain effective stakeholder engagement and governance throughout the project lifecycle.
  • Oversee data migration, system integration, and process design to support operational effectiveness.
  • Manage third-party suppliers and system vendors to ensure contractual and performance requirements are met.
  • Provide leadership and coordination across multiple workstreams to facilitate a smooth transition and adoption of the CAFM system.

Skills

  • Proven experience leading CAFM system implementations or large-scale FM/Property system deployments
  • Strong background in Facilities Management, Estates, or Property operations (client or supplier side)
  • Experience delivering complex transformation projects involving multiple stakeholders
  • Demonstrable experience managing third-party suppliers and system vendors
  • Expertise in data migration, system integration, and process design
  • Knowledge of helpdesk/work order management, asset management, and planned maintenance processes
  • Familiarity with project management methodologies such as PRINCE2, Agile, or similar
  • Excellent stakeholder management and communication skills
  • Strong leadership and team coordination abilities
  • Ability to work effectively in a hybrid working environment

  • Project management tools (e.g., MS Project, JIRA, Agile platforms)
  • Data migration and integration tools
  • Certifications & Standards
  • Project management certification (e.g., PRINCE2, Agile) preferred
  • Relevant Facilities Management or Property qualifications advantageous
