About the role
Admin Officer
Location: Swindon, SN1 2JB
Working Days / Hours: 37 hours Monday - Friday
Working Pattern: 9am - 5pm
Pay Rate: £12.86 per hour

You'll be the reassuring point of contact for service users and stakeholders-helping people understand what's next and where to go for the right support.
What you'll be doing:
* Undertake administrative tasks to help prepare for, facilitate, and support hearings
* Provide clear information and signposting via face to face, incoming/outgoing telephone contact, and correspondence in a range of formats
* Use service scripts and knowledge articles to direct queries to the right services, including support for users with specific or complex needs
* Follow complaints policies and procedures, supporting users through the process and responding promptly to prevent escalation (updating OPTIC as required)
* Handle case files with accurate data entry and secure information management, complying with retention and data loss protocols
* Support jury service activities including selection, deferral, reassignment and attendance tracking, and process related expenses and court fees
* Assist with listing and scheduling, including urgent matters, diary coordination and administrative support for judicial business
* Support enforcement procedures such as financial assessments, fine collection assistance, and basic statistical/financial reporting
* Contribute to health and safety operations (PEEPs, facility checks, issue logging and key/safety governance under team leader guidance)
* Identify risks relating to HMCTS buildings and inform the Senior Person on Site (SPoS) when required

* Ability to manage multiple priorities, follow standard operating procedures, and meet performance targets

You'll work in an operational environment where responsiveness and careful handling of information are essential.
