About the role

Job summary

The Ministry of Defence, Civil Service workforce is diverse, with many different functions and professions ranging from cyber and digital transformation, police officers, security guards, trainers, human resources, teachers, psychologists, storekeepers, and policy secretariat staff to support the British Army.

We are a friendly and adaptable Regiment that is committed to supporting and developing our people. You will receive the training and guidance needed to succeed in the role, through a mix of workplace learning and formal training opportunities. This may involve occasional travel and time away from your usual workplace.

Working as part of a small and supportive team, you will provide essential clerical and administrative support to personnel across 710 Squadron.

The position is advertised at 37 hours per week.

Job description

Key responsibilities:

  • Carry out monthly management information (MI) checks conducted in line with the Unit MI plan, utilising the Unit military data record base Joint Personnel Administration (JPA) System.
  • Carry out all personnel records creation, maintaining and termination on the JPA System.
  • Process attendance-based pay using Personnel Pay System.
  • Maintain and update manual records, conducted in line with guidance from the Unit Administration Warrant officer and relevant publications.
  • Maintain Reserve personnel employers’ details on JPA System and distribute correspondence in accordance with the Defence Employer Notification Instruction.
  • Carry out "Move and Track" and process separated service and relevant allowances and charges on JPA System.
  • Maintain Unit daily travel allowance records and supporting documentation.
  • Manage site access on behalf of the Permanent Staff Administration Officer (PSAO) using the key fob access control system.
  • Diary management for Contractor site visits and Regional Lettings Income (RGI) booking.
  • Maintain postal account.
  • Maintain and issue HM Forces railcards to eligible personnel.
  • Arrange and coordinate medical, dental, and audio Appointments for reserve personnel.
  • Perform any other administrative duties as directed by the Permanent Staff Administration Officer (PSAO).

Person specification

Essential skills required:

  • Must be computer literate with MS Word and MS Excel.
  • Strong organisational skills, with the ability to manage competing priorities, maintain accurate records, and work to deadlines.
  • Good attention to detail and the ability to follow policies and guidance accurately when handling information.
  • Effective communication and interpersonal skills, with the ability to build positive working relationships.

Desirable skills:

  • 3 GCSEs (including English) would be desirable.
  • Previous admin experience would be beneficial.
  • Joint Personnel Administration (JPA)
