About the role
Design & Project Coordinator
Our client, a leading company in the utilities and infrastructure sector, is seeking a highly organised and detail-oriented Design & Project Coordinator to support Project Managers, planners, clients and DNO's in the delivery of high-quality, compliant, and cost-effective projects. As a key member of the project team, you will play a central role in coordinating design information, project documentation, schedules, approvals and stakeholder communications, helping to ensure all projects run smoothly from planning through to completion. The company design, build and commission Utility infrastructure across the UK and deal with highway authorities, councils and governing bodies for the Utility sector.
Key responsibilities
Document control & administration
- Prepare, issue, receive, register, and distribute design drawings, specifications, technical reports, calculations, schedules, and project correspondence.
- Maintain drawing registers and document control logs, ensuring revisions are accurately tracked and superseded documents are archived.
- Ensure project documentation is stored in line with company procedures, quality standards, and client requirements.
- Monitor document approval workflows and chase outstanding reviews and approvals.
Project planning & coordination
- Support project managers and design engineers with project schedules, milestone trackers, and action logs.
- Monitor key project deadlines, including design submissions, approvals, site activities, commissioning, and handover dates.
Stakeholder coordination
- Act as a central point of contact between design, project, commercial, planning, site, contractor, supplier, and client teams.
- Coordinate the exchange of technical information with DNOs, IDNOs, utility clients, and regulatory bodies.
- Follow up on outstanding information requests, design comments, technical queries, and approvals.
- Ensure stakeholders have access to the latest approved drawings and project documentation.
Design & technical support
- Assist with the preparation and submission of design packages for substations, overhead lines, underground cables, LV/HV networks, and associated utility infrastructure.
- Compile, format, and issue technical reports, schedules, and submission packs.
- Maintain records of design changes, RFIs, technical queries, and client feedback.
- Support the production of as-built documentation and project handover packs.
Commercial & procurement support
- Assist project managers with budget tracking, cost reporting, and project updates where required.
Project records & reporting
- Maintain accurate project records, including correspondence, approvals, permits, drawings, meeting minutes, and progress reports.
- Update project management systems, document control platforms, and internal databases.
Compliance, quality & health and safety
- Ensure documentation complies with company procedures, ISO standards, client requirements, and regulatory obligations.
- Maintain records of permits, inspections, test certificates, approvals, and commissioning documentation.
General team support
- Assist with resource planning and workload coordination across multiple projects.
- Provide administrative support to the Design Manager, Project Managers, and wider project teams as required.
Essential Job Requirements:
- Previous experience in a design administration, project coordination, or project support role.
- Experience within the electrical utilities, construction, engineering, infrastructure, or energy sector.
- Knowledge of electrical utility projects, including LV/HV networks, substations, overhead lines, underground cables, and renewable energy connections.
- Strong organisational skills with the ability to manage multiple projects and priorities simultaneously.
- Excellent attention to detail, particularly when handling technical documentation.
- Strong written and verbal communication skills.
- Familiarity with DNO procedures, G81 standards, utility design submissions, and technical approval processes.
- Experience using document management systems and project management software.
- Ability to work both independently and collaboratively within a multidisciplinary team.
Desirable Job Requirements:
- Understanding of the full project lifecycle, from design through to construction, commissioning, and handover.
- Experience using AutoCAD or similar design software.
- Knowledge of health, safety, and quality management processes within utility projects.
- Experience preparing, compiling, and issuing project completion documentation for client handover.
