Our latest product, Bookable Navigator, extends this vision by automatically booking appointments for existing patients.

🎯 Mission statement

We have an ambitious mission: to unlock access to healthcare by making every appointment in the NHS bookable. To reach national scale, we need to have the most efficient and effective executive operations. Your job is to make Raj (CEO) and the entire leadership team more effective by managing executive operations, coordinating across teams, and identifying process improvements that drive organisational efficiency.

We invest heavily in development, care deeply about our people, and will support you when needed. BUT you must be comfortable with pressure and prepared to work 60+ hours a week.

The goal: Make Raj and the leadership team more effective, and act as a force multiplier for the company.

Success looks like:

  • Company priorities are well understood across teams (teams are charging in the right direction)

  • Raj's calendar actually matches company priorities (not just what's urgent)

  • Nothing gets lost - all actions are tracked and commitments delivered across the company

  • Meetings happen smoothly - right people, right prep, actions, owners and deadlines

  • Raj and the leadership team never chase you for updates

  • Zero typos, broken links, or half-done work

By day 30: Get the engine running

Output: Raj's operation is visibly smoother.

You will have:

  • Mastered calendar and inbox - you know what matters to Raj, what is noise, and what is not.

  • Shadowed Raj in all meetings - you understand his meetings, priorities, and working style

  • Established your quality standards and techniques to meet them - nothing leaves your desk with errors

  • Run logistics for 5+ major meetings - materials ready, people briefed, no surprises

  • Built your action tracking system - Raj's commitments are visible and moving forward, no actions have been missed

 

By day 60: Make hard things easy

Output: Raj trusts you completely with executive operations.

You will have:

  • Process audits - you've reviewed how Raj interacts with the team, identified 2-3 process inefficiencies, and recommended changes

  • Communication protocols - you've developed standards for how information flows between Raj and teams (e.g., decision-making processes, update cadences)

  • Calendar on autopilot - you make judgment calls and Raj agrees with them, you schedule to priorities not requests

  • Inbox at zero daily - you respond on his behalf when appropriate, flag urgent, eliminate noise

  • Raj’s meeting prep is reliably excellent, also has a venue (rooms if internal), starts on time, has buffer zones where needed

  • Tracked 50+ actions to completion, with nil missed

  • You’re acting as a reliable, independent thought partner who can challenge Raj when needed but also play with his ideas to optimise his creativity and output

  • Observe and take note of what gives Raj energy e.g. meditation, exercise and ensure he has space to do this each day

 

By day 90: Set the standard

Output: You're indispensable to how Raj and the leadership team operates.

You will have:

  • Raj delegates tasks once and forgets them - he trusts they're done

  • Zero dropped balls - your tracking system means nothing slips

  • You've built a weekly exec dashboard showing company metrics, team progress, and key blockers

  • You produce ad hoc reports analysing organisational efficiency and trends

  • You've lead implementation of organisational process improvements (e.g. new meeting formats, communication standards, workflow improvements); you will have measured their effectiveness and iterated accordingly

  • Meeting quality is consistent - prep happens without Raj thinking about it

  • You've optimised Raj's calendar multiple times based on what actually gets results

  • You've built templates and systems that make recurring work effortless

  • You and Raj complement each other’s mindsets and abilities, you catch details he misses, you know when to bring Raj back into focus and how to prioritise his ideas

  • You understand how to create a world where Raj can work at his optimum, sometimes last minute and amongst chaos, but create time and space for him to channel that energy into order so the rest of the team can thrive in structure, good communication and clarity

  • You're always two steps ahead - no firefighting, just smooth execution

 🔍 Scope of the role 

You fully own:

  • Operations analysis - monitor company processes, identify bottlenecks, and recommend operational improvements (e.g., meeting structures, communication flows, decision-making processes)

  • Executive reporting - support the preparation of reports on company metrics, team progress, and KPIs that Raj uses for strategic decisions

  • Calendar management - protect time, align to priorities, optimize for effectiveness

  • Inbox triage - respond when appropriate, flag urgent, eliminate noise

  • Cross-functional coordination - schedule and coordinate meetings between Raj and department representatives; delegate and track action items across teams; ensure alignment on company priorities across team leads

  • Task management - action tracking, chase completion, flag block
