About the role
Admin Officer (Probation Reception & Building Support)
Location: Manchester (Saddler's Yard, 30 Hanover St, Manchester, M4 4AH)
* Pay rate: £12.71 per hour
* Assignment:until 27/11/26, with the possibility of extension (reviewed)
* Client vetting is required (Costs covered by the vetting process)
* Interviews will be completed in person
* Training is provided on the job

Our Client is hiring for a Band 2 Admin Officer on a full-time basis, Monday to Friday, 9am-5pm.
What you'll be doing:
* Acting as the first point of contact for the Probation Service-welcoming people on probation and visitors professionally in person, by phone, and via email
* Logging arrival and departure, issuing visitor passes and security fobs as needed, and ensuring the right staff are notified
* Using observation and situational awareness to respond tactfully to potentially challenging situations, escalating appropriately when additional support is required
* Answering reception enquiries with confident, clear information, and referring more technical questions to the relevant manager
* Managing building logistics, including mail handling, ordering office supplies/PPE, organising meeting room equipment, and supporting meeting room and event preparation/registration
* Handling day-to-day petty cash and travel warrants (including collection and transport between probation properties)
* Supporting Health & Safety and building security-acting as key holder, operating physical security, testing fire/panic alarms, monitoring CCTV, assisting evacuation measures, and stepping in as Fire Warden/First Aider where necessary
* Logging building faults and incidents, escalating maintenance and repair issues, and supporting safe contractor/visitor access when required
* Providing confidential, high-level administrative support to operational teams, including updating files (computer and manual), producing documentation, scanning/archiving sensitive data, and inputting information into databases
