The role

As a Client Services Administrator, you’ll play an important role in ensuring clients receive a professional, responsive and seamless service from their initial contact through to the implementation of new business.

You’ll work closely with Financial Advisers, Paraplanners, Compliance, Operations and international colleagues, providing high-quality administrative support across pensions, investments and financial planning.

What you’ll be doing

Client Service & Communication

  • Act as a primary point of contact for clients, building strong relationships and resolving queries promptly and professionally.
  • Answer incoming calls and provide information or direct enquiries to the appropriate team.
  • Welcome clients and business partners visiting the office.
  • Prepare clear, accurate and professional client communications, including emails, letters and updates.
  • Work collaboratively with Advisers, Paraplanners, Compliance and Operations to deliver excellent client outcomes.

Financial Administration

  • Prepare, process and track client documentation, including application forms, transfer requests, investment instructions and compliance records.
  • Support the implementation of financial advice by understanding adviser recommendations and preparing the required documentation.
  • Liaise with clients to ensure recommendations are implemented accurately and within agreed timescales.
  • Support the collection of advice fees.
  • Maintain accurate client records, contact logs and audit trails.
  • Update client databases in line with data protection and company requirements.
  • Sort, scan and distribute incoming correspondence efficiently.
  • Undertake research and project work, including provider comparisons, market research and process improvement.

Teamwork & Collaboration

  • Contribute to the success of the wider global Client Services team.
  • Share knowledge and support colleagues.
  • Collaborate with international colleagues across multiple jurisdictions to coordinate actions and deliver timely client outcomes.
  • Participate positively in team meetings and wider team initiatives.

What we’re looking for

We’re looking for someone who is organised, personable, accurate and genuinely enjoys helping clients.

You’ll ideally have:

  • Previous administrative experience within financial services, financial planning, wealth management or professional services.
  • An understanding of pensions, investments or financial planning.
  • Excellent written and verbal communication skills.
  • A strong client-service mindset and professional approach.
  • Excellent organisation and time-management skills.
  • Exceptional attention to detail and accuracy.
  • The ability to manage competing priorities and meet deadlines.
  • A proactive, solutions-focused approach.
  • The ability to work independently while also being a strong team player.
  • High standards of integrity, confidentiality and professionalism.
  • Good knowledge of Microsoft Office.
  • Experience using Xplan or similar financial planning software would be advantageous, but is not essential.
