About the role
This is a remote position. Introduction/Purpose: The local Business Support Officer supports the local brand teams. Key Responsibilities/Scope of the Job: Business Support Administrative support when requested to brand teams in local affiliate Organization Team Meeting (book meeting rooms, organize lunch/dinner, etc.) Marketing material archiving for legal purpose Daily monitoring of mailbox (TBC) and office general phone number (TBC) (incl. forward of SMPCs/PIL updates and archiving in line with SOP VV-QUAL-SOP-01927) Contract manager Maintain contracts templates (HCC and 3rd parties) up-to-date and provide Activity Leads with correct templates Review/validation of each contract and SOW before signature Drafting of Advisory boards contracts/validation with compliance manager/signature Prepare and send out delegate invitation letters for HCPs attending congresses Liaise with legal HQ when necessary Upload, follow-up and archiving of each contract in CMS Support other affiliates/HQ when engaging with Dutch HCP/HCO Transparency coordinator Act as DEP (Data Entry Person) for disclosure of ToVs and reporting on the HQ platform Validation of Transfers of values Check/follow-up/validation/declaration of TOVs from other affiliates Respect new guidelines/legislation (EFPIA & VIG) provided by Compliance Manager Yearly introduction of the data’s in the official Dutch system (respecting the official deadlines and FU if questions/comments from HCP/HCOs Daily check of transparency mailbox (TBC) Anti-Bribery & Due Diligence (AB & DD) coordinator Follow up that AB & DD assessment is performed for new vendors and re-assessment is performed in a timely manner. Coordination AB & Due Diligence assessment of suppliers with Compliance Manager Ensure correct documentation regarding the AB & DD assessments is available and archived Maintain suppliers lists on Teams ‘Third Party Due Diligence Europe & International ABAC channel Back-up of QA manager Benelux Ensure timely complaints introduction in Veeva Quality during absence of the QA Manager Education/Learning Experience/Work Experience Required: MBO-4, 3 years work experience Desired: HBO, 3 years of experience in a similar position (within pharma = advantage) Skills/Knowledge/Languages Attention to details / work precisely Good organization skills Effective communication and team-working ability Languages: Dutch , English Knowledge of the pharmaceutical industry, its rules and regulations (CGR) in The Netherlands (= advantage) Personal Attributes High drive and accountability Proactive and result driven, “a doer” with a delivery mind-set, flexible, ready and able to exercise initiative Ability to multi task and to operate efficiently in a fast moving environment also when under pressure Good team player but also capable of managing tasks independently.
