The energy sector is changing fast, and digital and data are helping make that change possible. Ofgem is looking for a Business Support Analyst to join our Digital Delivery Team and build their career at the centre of an exciting period of transformation.

This is a full-time, permanent opportunity to take your existing business support, admin, project management or PMO experience somewhere new. You'll be part of a team embracing the potential of digital and data and will have the chance to gain valuable experience whilst contributing to work that supports significant change across the energy sector.
You'll play an important part in keeping our Digital Delivery Team organised, connected and moving in the right direction, and you'll discover plenty of variety and chances to work with people across the team.

We're looking for someone with experience in a business support, administrative, PMO or project management support role. You'll be highly organised, comfortable juggling different priorities and have a fantastic eye for detail and accuracy. As well as confidence using Microsoft 365, including Word, Excel, PowerPoint, Teams and SharePoint, you'll have experience supporting the creation of reports and presentations.

Job description
Key Responsibilities
- Provide day-to-day administrative support on tasks such as conducting research, arranging meetings (face-to-face and virtual), maintaining accurate records, data input and contract management.
- Assist in preparation of reports, presentations, and correspondence.
- Be a point of contact for internal and external stakeholders, handling inquiries and requests promptly and professionally.
- Assist in organising events, conferences, and other networking activities.

- Use bespoke internal financial systems to raise purchase orders; process invoices, interrogate financial and resourcing systems for ad hoc enquiries and problem solving.
- Support the development of systems and procedures where necessary to ensure efficiency, quality and cost effectiveness across the business support and administration function.
- Organise and manage your own workload, ensuring deadlines are met and duties are performed efficiently.
- Answering telephone calls, participating in video conferencing calls, booking meeting rooms, taking minutes and actions and other general administrative tasks as requested by senior managers.

Key Outputs and Deliverables
- Planning and Scheduling - Assist in maintaining appropriate systems to enable effective planning and scheduling. Assist the Business Support Managers in coordinating project activities and schedules.
- Monitoring and Reporting - Assist in maintaining project controls and in producing project reports. Monitor and track project progress, ensuring deadlines are met. Prepare and maintain project documentation, including project plans, status reports, and risk registers.
- Administration - Organise key project meetings and provide secretariat support, including scheduling meetings, managing calendars, and organising events. Maintain and update project management tools and systems. Assist in the preparation of presentations, reports, and other business documents. Administer and maintain SharePoint sites and pages.
- Resources – Assist in resource planning and allocation for projects. Monitor resource utilisation and availability. Support the management of project budgets and expenses.
- Stakeholder Engagement - Assist in maintaining the stakeholder log for internal and external stakeholders. Facilitate communication between project teams, stakeholders, and external partners. Prepare and distribute project status reports, meeting agendas, and minutes. Ensure timely and accurate reporting of project progress and issues. Act as the focal point for project responses to external requests for information.
- Financial Controls - Assist in the monitoring of project spend and contribute to the compilation of budgets.

Essential criteria:
• Relevant experience working in a Business Support/ administrative/PMO/Project Management Support role (Lead)
• Proficient in Microsoft 365 Office Suite (Word, Excel, PowerPoint, MS Teams, SharePoint) (Lead)
• Experience of working under pressure, demonstrating strong organisational skills, managing multiple tasks and prioritising your workload.
• An eye for detail and accuracy is crucial.
• Experience supporting the creation of reports and presentations.
