The Opportunity

Are you looking for your next exciting career move? British Transport Police has an excellent opportunity for an External Scrutiny Co-Ordinator to join the Trust, Legitimacy & Community Policing Department.

As an External Scrutiny Co-Ordinator with BTP, you will play a key role in supporting the Force's commitment to transparency, accountability and public confidence. Working closely with the External Scrutiny & IAG Manager, you will co-ordinate and support BTP's external scrutiny and Independent Advisory Group (IAG) activity, ensuring that scrutiny processes are delivered effectively and consistently across the organisation.

You will provide a comprehensive co-ordination and administrative service, supporting the planning, organisation and delivery of meetings, maintaining accurate records, tracking actions and ensuring outputs are communicated to relevant stakeholders. The role is central to maintaining governance processes, reporting arrangements and documentation, helping to ensure recommendations and learning are captured and progressed.

Through your work, you will contribute to organisational learning, continuous improvement and the delivery of Trust and Legitimacy priorities, helping BTP to strengthen relationships with the communities it serves and demonstrate its commitment to fair and accountable policing.

What you'll be doing:

  • Co-ordinating and supporting all external scrutiny activity, including organising meetings, maintaining attendance records, preparing agendas, and accurately recording minutes, actions and outcomes.
  • Managing the External Scrutiny inbox and acting as a central point of contact for scrutiny panel members, stakeholders and partners, ensuring enquiries and requests are handled effectively.
  • Preparing, distributing and tracking reports, updates and recommendations arising from external scrutiny activity, ensuring actions are progressed and governance requirements are met.
  • Recruiting, supporting and maintaining external scrutiny panel members and Independent Advisory Group (IAG) volunteers, including vetting compliance, attendance records and expense administration.
  • Building effective relationships with internal and external stakeholders, co-ordinating requests for external scrutiny and promoting collaborative working to support organisational transparency and accountability.
  • Supporting the continuous improvement of scrutiny processes through environmental scanning, reviewing best practice, maintaining Terms of Reference, and redacting Body Worn Video footage for stop and search scrutiny activities.

What you'll bring to the team:

  • Experience of co-ordinating meetings, preparing agendas and documentation, recording actions, maintaining activity trackers and supporting governance or oversight processes to ensure effective delivery and reporting.
  • Strong interpersonal and communication skills, with the ability to build positive relationships and work effectively with stakeholders from a wide range of backgrounds, managing differing viewpoints with professionalism and confidence.
  • Excellent organisational skills, with the ability to prioritise competing demands, manage sensitive information appropriately and deliver high-quality work to tight deadlines.
  • Must be able to conduct PNC and PND search for potential new members of certain Scrutiny Panels, or be willing to undertake training within the first 3 months in the post.
  • Proficiency in Microsoft Office applications and the ability to prepare accurate reports, presentations and written communications for both internal and external audiences.
  • Knowledge of data protection principles and experience of handling confidential and personal information in accordance with relevant legislation and organisational policies.
  • Ability to analyse, organise and present information clearly to support decision-making, continuous improvement and the effective delivery of external scrutiny and community engagement activities.

Additional Information:

This can be a complex role and a highly rewarding role with many opportunities for the Post Holder to develop and make the role their own. The Post Holder needs to be flexible to work away from home on occasions, at some weekends and some evenings including overnight stays. Where possible advance notice is given, however there may be occasions when short notice is given.
