About the Role
We are recruiting for an experienced Private Client Secretary to join a well-established and highly regarded multi-office law firm with locations across Kent and South East London.
This is an excellent opportunity for an experienced Legal Secretary who is looking to develop their career beyond a traditional support role. The firm offers a genuine progression pathway towards becoming a Private Client Case Manager, supported by structured training, mentoring and increasing responsibility.
You’ll join a friendly and supportive Private Client team, assisting Solicitors with a varied caseload while developing your technical knowledge and gaining greater exposure to areas including Wills, Probate, Estate Administration, Trusts and Lasting Powers of Attorney.
Key Responsibilities
- Provide comprehensive secretarial and administrative support to Solicitors within the Private Client department.
- Prepare and manage correspondence, legal documentation and case files with a high level of accuracy.
- Assist with documentation relating to Wills, Probate, LPAs, Trusts and Estate Administration.
- Prepare relevant court forms and legal documents where required.
- Maintain and update client files, ensuring all records are complete and accurate.
- Schedule appointments, meetings and relevant court dates.
- Handle client enquiries in a professional, sensitive and compassionate manner.
- Liaise with courts, Solicitors and other external professionals as required.
- Assist with billing and invoicing, ensuring accuracy and timely processing.
- Use the firm’s case management and other IT systems to maintain accurate records.
- Maintain strict confidentiality when handling sensitive client and family information.
- Collaborate with colleagues across the firm’s offices.
- Develop your Private Client knowledge and responsibilities as you progress towards a Case Manager position.
About You
To be considered for this position, you will ideally have:
- Previous experience as a Legal Secretary, ideally within a Private Client department.
- A good working knowledge of legal terminology, documentation and relevant procedures.
- Excellent typing and IT skills, including proficiency with Microsoft Office and legal software.
- Strong organisational skills and the ability to manage multiple priorities effectively.
- Excellent written and verbal communication skills.
- A strong focus on client care.
- The ability to communicate sensitively and professionally with clients, particularly during difficult or emotional circumstances.
- Excellent attention to detail.
- A high level of discretion when dealing with confidential information.
- A proactive and flexible approach to work.
- The ability to remain organised and effective when working under pressure.
Previous experience within a Lexcel-accredited or similarly accredited law firm would be advantageous but is not essential.
