Job Description Summary:
The Executive Strategic Coordinator serves as a key partner within the President's Office, working closely with the President & CEO to enhance leadership effectiveness, advance strategic priorities, and maximize organizational impact. This is not a traditional executive support role. It is an opportunity to serve as a strategic partner in advancing affordable housing, preventing homelessness, and strengthening communities across Southeast Michigan.
Operating as an extension of the President's leadership capacity, the Executive Strategic Coordinator helps drive organizational priorities forward by coordinating strategic initiatives, managing executive operations, facilitating cross-functional collaboration, and ensuring timely execution of key projects and commitments. The role anticipates needs, prepares executive communications, organizes complex projects, and creates the structure, accountability, and follow-through necessary to achieve organizational goals.
The ideal candidate brings exceptional judgment, discretion, initiative, and organizational skills, along with the ability to manage competing priorities in a fast-paced environment. This highly visible position requires a proactive, solutions-oriented professional who can build strong relationships, handle sensitive information with confidence, and contribute meaningfully to the organization's mission and long-term success.
Essential Functions:
- Executive Partnership
- Partner closely with the President to coordinate daily priorities and support effective decision-making.
- Manage executive scheduling with an emphasis on aligning time with organizational priorities and strategic objectives.
- Prepare agendas, briefing materials, background information, presentations, and meeting materials.
- Draft, edit, and proofread correspondence, reports, presentations, and executive communications.
- Coordinate travel, speaking engagements, and executive logistics.
- Exercise independent judgment in responding to inquiries and determining appropriate follow-up while maintaining confidentiality.
Key Competencies:
Strategic Initiative Coordination
- Directly supervise the Executive Support Specialist, providing guidance, mentorship, and performance feedback to support professional growth and accountability.
- Delegate and oversee administrative tasks to ensure quality, timeliness, and alignment with organizational standards.
Executive Communications & Research
- Prepare executive correspondence, talking points, reports, presentations, and Board materials.
- Conduct research and summarize information related to housing policy, community initiatives, emerging trends, legislative issues, and organizational priorities.
- Assist in preparing materials for public presentations, conferences, and community meetings.
- Ensure executive communication reflects organizational values and professionalism.
Executive Office Operations
- Coordinate workflows across the Executive Office.
- Develop systems that improve organization, efficiency, and accountability.
- Maintain executive files, records, and document management systems.
- Prepare expense reports and coordinate executive administrative processes.
- Identify opportunities to leverage technology, Microsoft 365, Copilot, AI, and automation tools to improve productivity.
Qualifications and Skills:
- Bachelor's degree preferred; equivalent experience considered.
- Five or more years supporting senior executives or leading complex administrative and project coordination work.
- Demonstrated experience coordinating multiple projects simultaneously.
- Exceptional written communication and editing skills.
- Advanced proficiency with Microsoft 365, including Outlook, Word, Excel, PowerPoint, Teams, SharePoint, and Copilot.
- Strong organizational, analytical, and problem-solving abilities.
- Demonstrated ability to exercise sound judgment and maintain strict confidentiality.
- Valid driver's license and reliable transportation.
