About the role
Admin Officer
Location: Southampton Magistrates Court
Start Date: 7/9/2026
Assignment runs until: 1/2/2027
Working Days / Hours: Monday to Friday, 37 hours per week
Hours: 9am - 5pm
Working Pattern: Full Time, on site only
Job Type: Office based
Pay Rate: 12.86 for the first 12 weeks, £13.25 afterwards
Dress Code: office attire.
Ability to pass an enhanced DBS check and 3 years of references checks

Key responsibilities of an Admin Officer including usher duties
ROLE RESPONSIBILITIES
List the duties of role including any specific skills that are required:
- Preparing papers and files for court, tribunals, hearings and meetings.
- Reception of all parties to court, including judiciary, juries, solicitors and barristers, the police and members of the public.
- Calling people into court/hearings in priority order, discussing with Court Clerks and Legal Advisers and liaising with the Witness Service as necessary.
- Providing information related to proceedings, escorting court users into and from the building, swearing oaths.
- Keeping parties informed of changes eg, of courtrooms and hearing times
- Collecting and delivering files and bundles to the judiciary and clerks ensuring they have the necessary papers.
- Providing support to colleagues & judiciary outside of court / hearing times
- Navigating court hearings via video link, onsite and remotely
- Preparing rooms for hearings, tribunals, trials, meetings and clearing the court / hearing room down at the end of the day etc.
- Arranging and supporting court hearings
- Assisting the general public when attending hearings.
- General administrative duties including filing, printing and data entry
- Data input, typing, post incoming and outgoing, filing, general office duties.
- Preparing papers and files for court, tribunals, hearings and meetings
- Producing court documents
- Creating and updating records on internal systems
- Data input
- Drafting standard letters and documents
- Clerking Civil and Family Courts, tribunals and hearings
- Assisting court users with general queries
