About the role
This Administrator Role will be split between the MSK & Podiatry service.
The Musculoskeletal (MSK) service provides specialist MSK assessment, diagnosis, advice and treatment, for the adult population of Leeds.
The team includes MSK Physiotherapists supported by administrative staff, operating out of a number of health centres and GP practices across the city.
The Podiatry Service is also a community based service for the assessment, management, and treatment of podiatric and lower limb pathologies.
The team of Advanced and Specialist Podiatrists as well as Assistant Practitioners are based in geographical areas across Leeds, working in health centres, patients own homes, care homes, prisons etc.
Administrators in the MSK & Podiatry service provide office based administrative support to the clinical team, undertaking tasks which include:
• Answering the telephone/point of contact
• Processing incoming and onward referrals
• Managing patient waiting lists
• Managing appointments and bookings
• Sending correspondence
• Managing information using various IT and patient information systems
• Other general office duties
The service operates Monday to Friday 8am – 5pm from at the White Rose Office as well as hybrid working being supported when possible. There is no requirement to work evenings or weekends.
The training period for this role where office attendance is mandatory lasts 6-12 weeks.
You will be line managed by the Administration Services Coordinator.
As an Administrator, you will provide a professional and efficient administrative support service to patients and colleagues across the service. You will be a key point of contact, responding to enquiries by telephone, email and face-to-face, ensuring that information is communicated accurately and courteously.
The role will involve a variety of administrative duties, including managing appointments, maintaining electronic and paper records, processing information, ordering supplies and supporting the smooth running of the office. Working as part of a busy team, you will assist colleagues with day-to-day tasks, contribute to delivering a high-quality service and provide a welcoming experience for everyone who accesses the service.
We are looking for someone with good communication and organisational skills, a positive and flexible approach, and the ability to work accurately while managing a range of routine administrative tasks. Experience of using Microsoft Office applications and working in a customer-focused environment would be an advantage.
