About the role
Our client CalaChem are currently recruiting for an Administrator (Engineering Planner) to join their team based in Grangemouth on a contract basis initially. Ideally for this role they are looking for an experienced Administrator with a relevant background. For more information on this role see below:Purpose The Engineering Planner & Administrator provides multi-functional planning of tasks, manpower and materials for routine engineering maintenance, minor projects and shutdown activities. The role holder will also provide administrative support within engineering, including the management of drawings including AUTOCAD services, certification and other engineering related documents, data systems input work and a wide range of engineering support tasks, e.g. all tasks received within the .Gran Engineering work folder.Principle AccountabilitiesOperating centrally on behalf of the management team, deliver a broad range of administrative and technical clerking services, as dictated by transient demand.Be the principal focus of all planned engineering activities in the area of responsibility and the provider of planning expertise and resourcePlan and prioritise the engineering workload on weekly basis whilst maintaining an overview of the workload over the year, particularly during shutdown periodsOperate a "Plan, Do and Review" cycle so that planned work is resourced and completed as per the planOperate the IT systems (MS-Project, MS Dynamics, MS -Excel, Prime, etc.) used within Calachem to ensure that effective planning of the work is carried out and that we meet business and legislative needsAssist with configuration management by monitoring and assisting with all aspects of engineering change control (modifications).Complete AUTOCAD drawing updates in support of change control work (within capability / training).Deputise for other admin roles during periods of absence.Provide engineering shut-down support by preparing key documentationSpecific DutiesInspection 'PRIME' database checked weekly for statutory PSSR inspectionsDevelopment, update and ownership of the year plan6 week look ahead plan developed in conjunction with the area managers and updated weeklyMaintenance plan role out and tracking of completion, highlighting any drift in completion dates or overdue plansAssist with budgets and cost savingsEnsure site remains compliant by delivery of maintenance plansComplete AUTOCAD drawing updates in support of change control work (within capability / training).Produce work-packs for the maintenance managers and PST'sDevelop and maintain the engineering Key Performance Indicators and prompt others into action when KPI's deviate from the targetMaintain the engineering management systems, updating documents and loading data into the electronic systemsCarry out audits ensuring good documentation practices ae being adhered toEnsure all engineering documentation systems are maintained and ready for audit. Highlighting any gaps or deficiencies to the management teamProvide administrative support across the organisation to ensure that key tasks and deadlines are covered during periods of absence for holidays or illness.Decision Making Authority ? Approvals and authorisations would be by others.Key Competencies - Strong evidence of behaviours and emotional intelligence critical to role success, e.g. team-player, attention to detail, practical, flexible, non-political, etc. - The job holder must be helpful and responsive, but also assertive and tactful in order to ensure that work is carried out to plan, cost, quality and safety. They must have good interpersonal skills in order to deal with people at all levels within the organisation. - Sound understanding of configuration management and change control concepts - Listening, analysing, numeric and reasoning skills. - Communication skills - written / verbal. - Organisational skills, personal flexibility and drive to key activities through to completion - Strong communication skills, in particular the ability to clarify customer requirements sympathetically, to ensure that what is delivered is tailored to expectations. - Good working knowledge of AUTOCAD and basic MS Office applications. - Working knowledge of commonly used Calachem IT applications such as MS Dynamics, PRIME, etc
