  • Working Days / Hours: Monday - Friday - 9AM -5PM, 37 Hours per week
  • Working Pattern: Monday - Friday, Everyday in office

Our Client is hiring for a reputed client, within the Probation Service, providing front-of-house reception and essential administrative support.

What you'll be doing:
* Acting as the first point of contact for visitors, telephone callers and people on probation-greeting professionally face to face, on the phone and via email
* Logging arrivals and departures, ensuring the right staff are notified, and issuing visitor passes and security fobs where necessary
* Answering enquiries with clear, basic information about the Probation Service and local support services (referring more complex queries to the appropriate manager)
* Being alert and using tact and diplomacy to help diffuse potentially difficult situations, and escalating/supporting where safeguarding or risk concerns may arise
* Managing building logistics including mail handling, ordering office supplies/PPE, coordinating meeting room equipment, and supporting room/desk/car parking bookings
* Supporting preparation for meetings and events, including event registration as required
* Handling practical admin tasks such as day-to-day petty cash and pay/travel warrant support for people on probation
* Contributing to building safety and security-acting as key holder, operating physical security, supporting fire/panic alarm testing, monitoring CCTV, and assisting evacuation measures where required
* Logging building faults and incidents, escalating appropriately, and making timely decisions within guidelines to protect security and service continuity
* Providing confidential, high-level administrative support to operational teams when needed (including updating files, producing correspondence, accessing databases, and scanning/archiving sensitive information)
* Supporting cover across teams during periods of absence (training will be provided)

What you'll bring:
* A confident, professional communication style-excellent verbal and written skills
* Strong ICT capability with proven proficiency in Microsoft Office (across the full suite)
* Calm judgement and situational awareness, with the ability to recognise when additional support is needed

* Flexibility for core hours that may include regular unsocial hours (evenings and/or weekends), based on business need
* The ability to manage multiple priorities in a busy reception and administration environment

Additional information:
* You'll report to a designated Line Manager and work collaboratively with other team members
* All candidates will be subject to security and identity checks before starting, and external candidates are subject to 6 months probation
