Job Responsibilities
This is a full time role 35 hours per week, Monday to Friday - based in Inverness. Hybrid working may be available. O
- Support the administration of policy documentation, ensuring records are accurate, current, and easy to retrieve.
- Assist with project administration tasks, including maintaining project trackers, logs, and action lists.
- Coordinate routine updates by collecting information from relevant stakeholders and consolidating it for internal use.
- Maintain organised filing systems (electronic and, where required, paper-based) in line with agreed processes.
- Prepare and format documents, reports, and meeting materials to a high standard.
- Support meeting administration, including scheduling, minute-taking where required, and tracking actions to completion.
- Monitor deadlines and ensure tasks are progressed in line with project timelines.
- Provide administrative support to help ensure compliance with internal procedures and governance requirements.
- Handle queries professionally, escalating issues appropriately when additional guidance is needed.
Required Skills & Qualifications
- Strong administrative capability with excellent attention to detail and accuracy.
- Clear written and verbal communication skills suitable for liaising with internal stakeholders.
- Proven organisational skills, including the ability to prioritise workload and manage competing deadlines.
- Competent IT skills, including confident use of Microsoft Office (particularly Word, Excel, and Outlook).
- Experience maintaining structured records and using document control practices.
- Ability to work with confidential information responsibly and in line with organisational expectations.
- Experience supporting projects or coordinating tasks in an administrative capacity (formal project management experience is beneficial but not essential).
- Good understanding of basic governance and compliance principles, with a commitment to following processes.
- Relevant qualification in administration, business support, or a related discipline (or equivalent practical experience).
